The Key is committed to protecting the privacy of its members.  We fully comply with the Data Protection Act 1998.

This page explains how The Key website, which is managed by The Key, uses any information you give to us and the ways in which we protect your privacy.

The Data Protection Act

Under the Data Protection Act, we have a legal duty to protect any information we collect from you.  We use a variety of security technologies and procedures to help protect your personal information from unauthorised  access, use or disclosure.  We recognise, however, that this medium can never by fully secure and you should be aware of this when you use this site.

How do we receive Personal Information?

We only collect personal information when you specifically provide it to us.  This may happen when you register to join The Key on the website www.keywords.org.uk or if you go to the ‘contact Us’ section on the website.

What information do we collect?  

We collect three kinds of information from visitors to www.keywords.org.uk :

1. Personal details when you apply to join The Key

2. Feedback or comments (through the ‘Contact us’ section)

3. Site usage information, from session cookies and log files.

1. Personal Details to join The Key

You can apply to join The Key by completing the on-line Key application leaflet.  This information is sent directly through to the Key co-ordinator to process.   A copy of the email request is printed off and stored securely along with postal application requests to join The Key.  This is so we have proof of consent from you to store you/your child’s information onto The Key database and so that we can provide a service to you/your child.  Email requests are stored only for as long as necessary.

The key database is strictly confidential and is only seen by members of The Key or other health professionals that have a legitimate reason to access the system.

2. Feedback or comments

There is a section called ‘Contact Us’ where you can email The Key with any enquiries you may have.  This information is sent directly through to The Key to deal with.  We will not pass this information onto anyone else, or discuss your query with anyone else, without gaining your consent first.

Site Usage Information

Cookies – A cookie is a small text file on your internet browser and hard drive that uniquely identifies your browser.  We only use cookies on our website for technical reasons and not to collect users’ personal information.

Log Files- Log files allow us to record visitors’ use of the site.  We keep log file information collected from all our visitors so we can see what sites are visited most regularly and how visitors move around the site.   Log files do not contain any personal information or information about which other sites you have visited.

Will we share your personal information with anyone else?

The Key is a confidential service and your personal information will not be passed onto anyone else, unless we seek consent from your first.

The only exception to this is if we suspect that a child is being mistreated or abused.  We are then legally required to share this information in order to protect the child.

What happens when I link to another site?

www.keywords.org.uk contains links to other websites on the links page.  This privacy policy applies only to our site, so you should always be aware when you are moving to another site and read the privacy statement of any site that collects personal information.

Changes to this privacy policy

If this privacy policy changes in any way, we will place an updated version on this page.  Regularly reviewing this page ensures you are always aware of what information we collect, how we use it and under what circumstances we will share it with other parties.
